From signup to a working company, in one afternoon.

Six steps. Most founders are running a real job through KārgāhFlow within their first day. Here is exactly how.

Step 1

Register as a Founder

Sign up at the Founder Register page with your name, company name, and timezone. Verify your email and you are in. No setup call, no sales team.

  • You become the company owner (Founder role)
  • Email verification is required for security

Step 2

Configure your company

Upload your logo, set your timezone, and pick which modules you want switched on: expenses, leave requests, and whether admins can invite users.

  • Logo shows on every internal page and on the QR posters
  • Toggle Expenses on if your crews handle materials
  • Toggle Leave on if you track sick / annual days

Step 3

Print your QR posters

Download a company-wide QR poster from the QR Code tab. Stick it on the office wall or hand it to each site supervisor. Workers scan it to clock in and out.

  • Tokens are rotatable if a poster gets lost
  • Workers still in-app? They can clock in there too

Step 4

Invite your first admin or worker

Open Users → Invite. Email goes out, they click the link, sign up, and land in the app already approved. No pending-queue back-and-forth.

  • Promote anyone to Admin from the same screen
  • Invited users skip the pending-approval stage
  • Roles: Founder (you), Admin, Worker
  • Workers can upload licences and certifications to their profile, with AI-assisted auto-fill and expiry alerts before anything lapses

Step 5

Create your first job

Add a job with a title, description, and location. The map auto-geocodes the address. Assign workers, and the job gets its own QR poster for site-specific clock-in.

  • Workers see assigned jobs on their dashboard
  • Each job tracks hours and expenses independently
  • Set an optional geofence radius so you can see exactly how far a clock-in was from site
  • Archive a job when it is complete

Step 6

Watch the dashboard fill in

As your team clocks in, files expenses, and requests leave, your admin dashboard fills with charts: hours by worker, hours by job, hours over time, and live session counts.

  • Five stat cards: hours, users, pending approvals, active jobs, active sessions
  • Export Clock Sessions and Expenses as CSV
  • Everything is real-time, no nightly batch
